Vialis Travel and Tours (“Vialis Travel”, “we”, “our”, “us”) respects your privacy and is committed to protecting your personal data. This policy explains what information we collect when you use vialistravel.com, why we collect it, how we use it, and the choices you have. It applies to all visitors, travelers, and prospective travelers who interact with our website, booking forms, email correspondence, or the booking portal at booking.vialistravel.com.

Our policy is written to satisfy the General Data Protection Regulation (GDPR) for European Economic Area visitors, the UK Data Protection Act, and similar privacy frameworks in Ghana and the United States. If you are reading this from elsewhere, the same baseline standards apply.

Vialis Travel and Tours is a Ghana-based tour operator headquartered in Accra. We design and operate heritage, cultural, and wildlife tours across Ghana, Benin, and Togo. Our contact details:

What information we collect

We collect personal information in three contexts:

  1. When you contact us or request a quote: name, email address, phone number, country of residence, travel dates, group size, and the message body you send us.
  2. When you book a tour: passport details, date of birth, dietary requirements, medical considerations relevant to the trip, emergency contact, and payment information processed by our payment partners.
  3. When you browse our website: IP address, browser type, pages visited, referral source, and time spent on each page. We collect this through standard web server logs and through analytics cookies if you accept them.

Why we collect this information

We collect personal data only for clearly defined purposes, with a legal basis under GDPR Article 6:

  • To respond to your enquiry (legitimate interest, Article 6(1)(f)).
  • To prepare a quote and a written itinerary (pre-contractual measures at your request, Article 6(1)(b)).
  • To deliver your booked tour including hotel reservations, internal transport, visa support letters, and safety logistics (contract performance, Article 6(1)(b)).
  • To meet legal obligations such as record-keeping for tax and tourism licensing (legal obligation, Article 6(1)(c)).
  • To improve our website and tours through anonymised analytics (legitimate interest, Article 6(1)(f), or consent for non-essential cookies).

How long we keep your data

We keep enquiry data for 24 months unless you ask us to delete it sooner. We keep booking records for 7 years after your trip ends, to comply with Ghana tax and tourism regulations. We keep payment records as long as required by our payment processors and applicable tax law. Anonymised analytics are kept indefinitely.

Who we share your data with

We share the minimum amount of personal data needed to deliver your tour:

  • Hotels, lodges, and transport providers in your itinerary (typically name, arrival date, dietary needs).
  • Visa support and immigration authorities when you ask us to issue a tourism support letter.
  • Payment processors who handle deposits and final balances on our behalf.
  • Email and hosting providers used by our team (Google Workspace, Hostinger).

We do not sell your personal data. We do not share it with advertising networks. We do not transfer it outside Ghana except as needed to deliver the services above, and in those cases the recipient is bound by contractual confidentiality obligations.

Cookies and analytics

Our website uses two categories of cookies:

  • Essential cookies needed for the site to function (session, security, cookie consent state). These are always on.
  • Analytics cookies that help us understand which pages perform well. These run only after you accept them through the cookie banner. You can change your choice at any time using the cookie consent button at the bottom of every page.

We do not use advertising or third-party tracking cookies.

Your rights

Under GDPR and similar frameworks, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your data (“right to be forgotten”) when there is no overriding legal or contractual reason to keep it.
  • Restrict how we process your data.
  • Object to processing based on legitimate interest.
  • Receive your data in a portable format.
  • Withdraw consent at any time for processing that relies on consent (such as analytics cookies).
  • Lodge a complaint with a supervisory authority, including the Ghana Data Protection Commission.

Data security

We protect your data with industry-standard measures: HTTPS encryption across every page of vialistravel.com and booking.vialistravel.com, access controls on our booking systems, and routine staff training on data handling. No system is 100 percent secure, and we will notify affected users without undue delay if a breach occurs.

Children

Our services are not directed at children under 16. If you are travelling with minors, the booking contract is held by the accompanying adult, and we collect minor details only as needed to deliver the trip.

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top reflects the latest revision. Significant changes will be communicated to active travelers by email. Continued use of the site after an update constitutes acceptance of the revised policy.
