About these terms
These Terms and Conditions (“Terms”) govern your use of vialistravel.com and the tours and services offered by Vialis Travel and Tours (“Vialis Travel”, “we”, “our”, “us”). By browsing this site, sending an enquiry, or booking a tour, you accept these Terms. If you do not accept them, please do not use the site or book a tour with us.
These Terms work alongside the trip-specific booking confirmation we send after you reserve a tour. If anything in your booking confirmation conflicts with these Terms, your booking confirmation prevails for that booking.

Booking and payment
- Quote stage: All quotes are valid for 14 days unless we tell you otherwise in writing. Quotes are based on availability at the time of issue and are subject to confirmation once you choose to proceed.
- Deposit: A non-refundable deposit of 25 percent of the total tour price is required to confirm your booking. The deposit secures your dates, internal transport, and accommodation holds.
- Final balance: The remaining 75 percent is due 45 days before your tour start date. For bookings made within 45 days of departure, the full amount is due at the time of booking.
- Payment methods: We accept bank transfer, credit card via our payment processor, and mobile money (MoMo) inside Ghana. Currency is United States Dollars (USD) unless agreed otherwise in writing.
- Pricing changes: Quoted prices may change before deposit if there is a significant change in fuel cost, government tax, park entrance fees, or exchange rates. Once a deposit is paid, the price is locked except for changes caused by force majeure or by changes you request.
Cancellations and refunds
If you need to cancel, the following terms apply, calculated from the date we receive your written cancellation notice (email is acceptable):
- More than 45 days before departure: full refund of any amounts paid above the 25 percent deposit.
- 30 to 45 days before departure: 50 percent of the total tour price is refundable.
- 15 to 29 days before departure: 25 percent of the total tour price is refundable.
- Less than 15 days before departure: no refund.
- No-show on the day: no refund.
If Vialis Travel cancels a tour for a reason within our control (operational decision, undeliverable itinerary), you receive a full refund or the option to rebook on alternative dates with the deposit applied to the new booking.
Force majeure
Neither party is liable for failure to perform when prevented by events beyond reasonable control: epidemics, pandemics, civil unrest, government travel restrictions, natural disasters, or airline failures. In such cases we will offer rebooking, a credit valid for 24 months, or a refund of recoverable costs minus non-refundable supplier deposits already paid on your behalf.
Your responsibilities
- Travel documents: You are responsible for ensuring your passport, visa, and required immigration documents are valid for the duration of the trip plus six months beyond. We can issue a tourism support letter for Ghana, Benin, or Togo visa applications on request.
- Health and vaccinations: You are responsible for consulting a travel health clinic before your tour. Yellow fever vaccination is required for entry to Ghana, Benin, and Togo. We recommend malaria prophylaxis and the standard hepatitis and typhoid vaccinations.
- Travel insurance: Comprehensive travel insurance covering medical evacuation, trip cancellation, and personal belongings is mandatory for every Vialis Travel tour. We may request a copy of your insurance certificate before departure.
- Behaviour: You agree to behave respectfully toward our guides, drivers, fellow travelers, local communities, and historical sites. Vialis Travel reserves the right to end a tour without refund if a traveler’s behaviour endangers others, breaks local law, or disrespects sites such as Cape Coast Castle, Elmina Castle, or sacred Voodoo sites.
Itinerary changes
Tour itineraries are designed in advance but West African travel sometimes requires flexibility. Vialis Travel reserves the right to adjust the order of activities, accommodation, or transport if needed for safety, weather, road conditions, or operational reasons. Where a change materially affects the tour, we will inform you in writing as early as possible and offer the closest reasonable alternative.
Liability
Vialis Travel acts as a tour operator and contracts hotels, transport providers, park authorities, and guides on your behalf. We take reasonable care in selecting partners. Our liability for loss or damage arising from third-party service failures is limited to the price you paid for the affected service. We are not liable for indirect or consequential losses, loss of enjoyment, or for events beyond our reasonable control. Nothing in these Terms limits liability for death or personal injury caused by our negligence.
Photos and media
You retain copyright in any photos or video you take during your tour. With your permission, we may use group photos taken by our guides for marketing. We never use identifiable images of you without prior written consent.
Privacy
How we collect and use your personal data is described in our Privacy Policy. By booking a tour you accept the data processing described there.
Governing law
These Terms are governed by the laws of the Republic of Ghana. Any dispute that cannot be resolved through good-faith negotiation will be referred to the courts of Accra, Ghana.
